RE: UCPath Payroll Processing Freeze Periods

The UCPath Center (UCPC) needs campuses to hold approvals on PayPath and Position Management transactions that affect current payroll processing during critical pay period dates. This will reduce the risk of payroll errors that delay On-Cycle payroll activities.

The UCPC is experiencing significant issues with all location payroll processing due to transactions that change data in the UCPath system during payroll processing. 

Campus Action:

Department transactors should review the Stop Processing dates associated with UCPC BW and MO payroll processing, listed below for the remainder of 2020. 

Please review the resources below to view the transaction dates. They are also linked at ucpath.ucsb.edu. 

UCPath Initiators can continue to process all transactions during the “Stop Processing” dates.

UCPath Approvers must hold all transactions that impact the current payroll period. Transaction approvals can resume on the “Resume Processing” date and time.

  • Retroactive transactions will impact the current payroll period and must be held.
  • Future dated transactions that do not impact the current payroll period can be approved during the “Stop Processing” dates.

Example: Pay Period B1 October 18 through October 31, 2020. Payroll processing begins on October 29, 2020. The department can continue to approve transactions through 5 p.m. on Friday, October 30, 2020, and resume approving transactions at 6 a.m. on Thursday, November 5, 2020.

Note: The Academic Personnel office will hold all pay-impacting transactions routed for central approval during the “Stop Processing” dates.

Payroll Processing Schedule Changes:

The UCPath Payroll Processing Schedule 2020 (Quick Links>Payroll Resources>Payroll Processing Schedules) includes “Stop” and “Resume” date columns to indicate when departments should hold campus transaction approvals. 

  • The “Stop Processing” column indicates when PayPath & Position Management transaction approvals stop at 5 p.m.
  • The “Pay Confirm” column indicates when UCPath completes processing for the Pay Cycle
  • The “Resume Processing" column indicates when transaction approvals can resume at 6 a.m.
