RE: New Academic Student Employee UCPath Actions Job Aid

 



New Job Aid:

A new job aid is available on the Resources for Department Analysts > Graduate Student Appointments section of the AP website, located in the “Other Resources” section. This provides a list of Action Steps with links to the campus and UCPC resources, and walk-throughs for each transaction type. This job aid downloads in Excel and provides the information in two formats:

  • The Action Steps tab provides a printable resource (landscape format on legal paper) that lists out the steps over the life cycle of an academic student employee:
    • Position (how to create/update)
    • Hire (identify the right template/reason)
    • Reviewing job information
    • Updating an existing employee record (FTE change, pay, etc.)
    • Reviewing pay
    • Corrective actions (missed pay/overpay, etc.)
    • Termination (template or End Job Automatically)
  • The Actions with Filters tab provides an interactive format of the same information. Filters can be applied by action type, component, etc. to narrow down the information and focus on a specific subject.
    • There is also an Instructions tab that provides guidance on how to apply and remove filters.


Other Reminders:

ASE Transition to Single Headcount Positions:

Effective 10/1/2023, all Academic Student Employees (ASE) must be in Single Headcount positions (per 3/22/23 email to campus). Guidance, including best practices, was sent to departments via a separate email on 5/8/23. Departments should be working on their transition plans to ensure all appointments are in single-headcount positions prior to the systemwide implementation of the Academic Student Range Adjustment announced in the 6/12/23 memo to campus.

Note: Information regarding the Range Adjustment actions and freeze dates is still pending from UCOP. A separate communication from the Academic Personnel Office will be sent out as more information becomes available.
